1. Introduction

TalosGuardian LLC ("TalosGuardian," "we," "us," or "our") respects your privacy. This Privacy Policy explains what information we collect, how we use it, and the choices you have, when you use our Platform.

2. Information We Collect

2.1 Account Information

• Name, email address, phone number
• For Agencies: business name, NYS Watch, Guard, and Patrol license number
• For Guards: a photo of your NYS Security Guard Registration card at sign-up, and your stated NYS Security Guard Registration number if and when you choose to add it to your profile

2.2 Location / Check-In Data
When you are a Guard actively checking in or out of a shift, we collect your device's GPS location at the moment of check-in and check-out. At check-in, this location is compared against the shift's site location to verify on-site arrival before check-in is accepted. At check-out, location is recorded for the audit record but arrival-style distance verification is not re-applied, so you are not blocked from ending a shift after being relieved. We do not track your location outside of active check-in/check-out events or continuously monitor your location in the background.

2.3 Shift and Timesheet Data
Information about shifts posted, accepted, worked, and the resulting timesheets generated from Check-In Data.

2.4 Payment Information
Agencies' subscription payment information is collected and processed directly by our payment processor, Stripe. TalosGuardian does not store your full credit card number.

2.5 Usage Data
Standard technical information such as IP address, device type, browser type, and how you interact with the Platform, collected automatically for security and performance purposes.

3. How We Use Information

We use the information we collect to:

• Operate, maintain, and improve the Platform;
• Verify Agency licensing against the NYS Department of State's public licensee search;
• Facilitate matching between Agencies and Guards;
• Generate accurate timesheets from Check-In Data;
• Process payments for Agency subscriptions;
• Send service-related notifications (including push notifications for shift alerts, if enabled);
• Investigate and resolve disputes, including through the strike/appeal system;
• Comply with legal obligations and enforce our Terms of Service.

4. How We Share Information

4.1 We do not sell your personal information.

4.2 We share information with:

• Agencies and Guards, as necessary for the Platform to function (e.g., an Agency can see the Guards on its roster; Guards can see shift details from Agencies they're connected to);
• Service providers, including Stripe (payments), Supabase (database/backend infrastructure), and OneSignal (push notifications), solely to the extent necessary for them to perform services on our behalf;
• Legal authorities, if required to comply with a legal obligation, protect our rights, or respond to a valid legal process.

5. Data Security

We use reasonable administrative, technical, and physical safeguards designed to protect your information, consistent with our obligations under the New York SHIELD Act. These include role-based access controls, encrypted data transmission, and restricted access to sensitive verification documents (such as registration card photos).

6. Data Retention

We retain account and shift-related records for as long as your account is active and for a period thereafter as required by applicable law, including retention obligations under NYC Local Law 061 (the Aland Etienne Act) where applicable, which may require retention of certain security-industry records for up to six (6) years.

7. Your Choices

• You may update your account information at any time through your profile settings.
• You may disable push notifications through your device settings, though this may affect your ability to receive timely shift alerts.
• You may request deletion of your account by contacting us at info@talosguardian.com, subject to our legal retention obligations described above.

8. Children's Privacy

The Platform is not intended for individuals under the age of 18. We do not knowingly collect information from anyone under 18.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will post the updated version with a new "Last updated" date.
